How to Generate and Export the Profit & Loss Report

The Profit & Loss (P&L) report is the most important financial statement. It shows whether your business made money or lost money over a period.
Steps
- Go to Reports → Profit & Loss.
- Date Range: Set the start and end date (e.g., July 1, 2025 – June 30, 2026 for a full tax year).
- Location: Select All Locations for a consolidated view, or pick a specific branch.
- Click Generate Report.
Reading the P&L
- Revenue (Sales): Total invoiced sales value.
- Cost of Goods Sold (COGS): The purchase cost of every item sold.
- Gross Profit: Revenue − COGS. This is profit before operating expenses.
- Operating Expenses: All recorded expenses (rent, utilities, salaries, etc.).
- Net Profit / Net Loss: Gross Profit − Operating Expenses. This is your bottom line.
Exporting
- Click Export to Excel to download a spreadsheet for your accountant.
- Click Print to open the print-friendly version.
📌 Note:The P&L report only reflects expenses recorded through the Expenses module. Make sure all operational costs are entered regularly for accurate reporting.
