How to Record a Payment Against an Existing Invoice

When a customer pays a previously outstanding (Due or Partial) invoice, follow these steps to record the payment.

Steps

  1. Go to Sales → List Sales.
  2. Find the invoice with a Due or Partial status.
  3. Click the $ Pay button on that row, or open the invoice detail and click Add Payment.
  4. Amount: Enter the amount being paid now.
  5. Payment Method: Select Cash, Bank Transfer, Cheque, etc.
  6. Date: Set the date the payment was actually received.
  7. Reference: Enter a cheque number or bank transfer reference.
  8. Click Submit.

The invoice status automatically updates to Partial or Paid depending on whether the full amount has been collected.

Viewing All Payments on an Invoice

Open any invoice detail → scroll to the Payments section. Every payment instalment is listed with its date, method, and reference number.

💡 Tip:Go to Reports → Customer Payment Report to see all pending receivables for all customers in one view.
