How to Record a Payment Against an Existing Invoice

When a customer pays a previously outstanding (Due or Partial) invoice, follow these steps to record the payment.
Steps
- Go to Sales → List Sales.
- Find the invoice with a Due or Partial status.
- Click the $ Pay button on that row, or open the invoice detail and click Add Payment.
- Amount: Enter the amount being paid now.
- Payment Method: Select Cash, Bank Transfer, Cheque, etc.
- Date: Set the date the payment was actually received.
- Reference: Enter a cheque number or bank transfer reference.
- Click Submit.
The invoice status automatically updates to Partial or Paid depending on whether the full amount has been collected.
Viewing All Payments on an Invoice
Open any invoice detail → scroll to the Payments section. Every payment instalment is listed with its date, method, and reference number.
💡 Tip:Go to Reports → Customer Payment Report to see all pending receivables for all customers in one view.
